Management Assistant

Specifically, we’re looking for a mature, hardworking, dependable, energetic, and seasoned professional who is friendly and customer service oriented. While serving in this role, your responsibilities would include, but are not limited to:

  • Greet clients and assure they are dealt with in a timely and professional fashion while providing ongoing administrative support to managers and staff, including expertly managing document flow/tracking, and providing excellent customer service.
  • Responsible for organizing the office, maintaining a professional environment, ordering office supplies, communicating with building manager, and providing general administrative support as needed.
  • Responsible to ensure completion of accurate records, including collecting detailed information and notifying management of problems.
  • Transcribe weekly time sheet data to service orders and communicate with maintenance team to capture all work done for service order completion.
  • Perform front desk reception duties including greeting and assisting customers, answering and transferring phone calls, monitoring and processing all scans, emails and incoming/outgoing mail.
  • Create and maintain all office filing organizational systems in compliance with company policies and state requirements.
  • Create and update various reports and tracking systems, ensure integrity of all data.
  • Assist with providing basic technical support for office equipment, phone system and computers.
  • Participate in special events as needed, including Stroll the Streets, downtown holiday open houses, etc.
  • Participate in bi-weekly management level Zoom video calls; collect information and create minutes to share with managers.
  • Perform special projects as assigned by manager, which may include gathering and organize documentation for annual insurance audits, updating monthly gross rent spreadsheet.

What We’re Looking For

 

  • Education:High School Diploma or GED equivalent requited, Associate's degree preferred
  • Ideal Experience:Minimum 2 years of previous office experience; background in a property management office preferred
  • Other:Strong computer proficiency – preferably Mac; specifically with Microsoft Office (Word, Excel, Outlook), Google (drive, docs), and Internet browsing.

Essential Functions

 

  • Candidate must be highly detail-oriented, organized, self-motivated and a team player
  • Candidate must possess the ability to problem solve, follow through, take initiative, and work quickly and accurately under deadlines with minimal supervision
  • Candidate must have excellent reading comprehension and English communication skills (verbal and written)
  • Candidate must be able to interact with all business partners and clients in a polite and professional manner
  • Candidate must be able to manage multiple tasks concurrently in a dynamic environment
  • Candidate must possess strong math skills and be comfortable with basic calculations.

Physical Requirements

 

  • Ability to walk, bend, stand, sit, lift up to 20 pounds with or without assistance, stretch/reach, hear, see, hand/finger dexterity and repetitive use of hands and arms for computer and telephone work.

Schedule

Candidate will be expected to perform the duties required by the role on a full-time basis and devote all reasonable efforts to ensure the role is adequately performed (40-45 hour per week – weekdays and weekends on average with variation based on occupancy / season)
